Elevate your webinars with these strategies

Webinars have become a mainstay in B2B marketing strategies, but as their popularity continues to grow, so does the challenge of standing out. With countless virtual events competing for attendees’ attention, marketers must implement innovative and effective strategies to boost engagement and registration rates.

As your leading partner in all things communication and education, AOE has compiled a list of key tactics, courtesy of MarketingProfs and Goldcast, that can help you increase engagement in your webinars. In addition to their great tips, we added a few more strategies that can help ensure your efforts deliver impactful results—whether you're hosting your first virtual event or looking to revamp your existing approach.

1. Avoid the word "webinar" in your titles

One standout finding from Goldcast’s analysis is how language affects registration rates. Specifically, using the term "webinar" in your title may reduce registrations by as much as 50%. Why? The word "webinar" often evokes thoughts of uninspired, predictable content—something many audiences are eager to avoid.

Instead, opt for titles that are creative, dynamic and engaging. Think of your event title as the first step in drawing attention and piquing curiosity. For example, titles like "Leadership Trends of Tomorrow" or "Inside the Future of Social Media" instantly convey value, while shedding any preconceived notions of staleness. These types of titles inspire excitement and set the tone for an engaging virtual experience.

Take a cue from successful examples, such as Hootsuite’s “Social Trends 2024: A Glimpse into the Future.” A great title clearly communicates the value of the event and generates enthusiasm before the audience even registers.

2. Create bingeable content with webinar series

Audiences today are conditioned to engage with content in series—thanks in large part to streaming services like Netflix and Amazon Prime. Bringing this format to your webinar strategy can be a game-changer. By positioning your events as part of a cohesive series, you encourage repeat attendance and build momentum over time.

A webinar series can take many forms. For instance:

  • Open series: Recurring events with no set end date, ideal for ongoing discussions about trends in your industry.

  • Closed series: A set number of episodes dedicated to a specific topic, structured to allow attendees to follow a narrative arc.

Webinar series also enhance brand authority. By delivering consistent insights on a key subject, you’ll establish your organization as a thought leader and a resource worth returning to for trusted expertise.

3. Increase webinar frequency to boost visibility

Another notable trend in B2B marketing is the rising frequency of webinars. Companies now host an average of 22 webinars per year—a significant increase of 69% over the last few years. With this higher cadence, audiences have come to expect frequent engagement opportunities. If you’re hosting fewer than two webinars per month, you may be missing opportunities to strengthen your brand’s exposure and reach.

While increasing your event schedule may seem daunting, it’s critical to prioritize quality over quantity. Leverage technology and automation tools to streamline your processes and make event production more manageable. Setting realistic goals—such as transitioning from one event per quarter to one per month—can make scaling up more achievable. The consistency this provides will position your brand as an active and engaged player in your field.

4. Interactive breakout sessions

Breakout rooms allow attendees to engage in smaller, focused discussions, fostering a sense of community and active participation. For example, attendees can collaborate on problem-solving tasks or reflect on key takeaways, which they later share with the larger group. This approach transforms passive viewers into active participants.

Managing breakout sessions requires careful planning and facilitation. Attendees may need clear instructions to ensure productive discussions. To measure your success, monitor participation rates in breakout sessions and collect feedback on their effectiveness. And use surveys or polls to assess whether attendees found the sessions valuable and engaging.

5. Use polls to drive webinar engagement

Webinars that actively involve their audience are far more likely to keep viewers engaged and leave a lasting impression. Polls are one of the simplest yet most impactful tools for achieving interactivity during a webinar, turning passive attendees into active participants. Here’s how you can effectively integrate polls into your webinar strategy.

Polls work because they encourage attendees to engage directly with your content. Asking participants to share their perspectives accomplishes several goals:

  • Encourages interaction: By inviting attendees to answer a question, you foster a two-way exchange rather than a one-sided presentation.

  • Breaks up the session: Use polls as natural pauses in your presentation to regain and refocus your audience's attention.

  • Gathers valuable data: Poll responses provide instant insight into your audience's preferences or challenges. This data can enrich the session and inform post-webinar communication tactics.

Despite speculation that webinar popularity would fade post-pandemic, data shows the opposite. Webinars remain an essential tool in B2B marketing, offering invaluable opportunities to educate, build authority and connect with audiences on a global scale. However, to succeed, you need strategies that prioritize creativity, quality and consistency.
